CASE :

PT Pos Indonesia services in the Sumenep area, Madura, East Java, were complained by 

consumers regarding delivery goods and letters services delay to the receiver. Inevitably, 

people who are using Pos Indonesia undergo bad service due to certain factors. One of 

the complaints came from the editor-in-chief of a print media, Zaini Amin. He wondering 

PT Pos Indonesia's Sumenep branch performance due to shipment that should have 

arrived on time was appropriate with expectations. In addition, he does not always check 

packages at any single second. "If this is the case in the future, PT Pos can lose trust, 

even consumers will leave it, especially now that there are many clearer delivery services 

and excellent service unlike PT Pos," he said in a disappointed tone. Make a plan based 

on the "Planning" stages that PT POS must do so that this incident does not occur again!

Many consumers have complained about PT Pos Indonesia's services in the Sumenep, Madura, East Java areas regarding delays in delivering goods and mail services to recipients. It cannot be denied that people who use Pos Indonesia experience poor service due to several factors. One of these complaints came from the Editor-in-Chief of one of the print media, Zaini Amin. He questioned the performance of PT Pos Indonesia Sumenep branch because the shipment that should have arrived on time had met expectations. Plus, he doesn't always check the package all the time. "If this is the case in the future, PT Pos could lose trust, consumers will even leave it, especially now that there are many delivery services that are clearer and have excellent service unlike PT Pos," he said in a disappointed tone. 

Make a plan based on the "Planning" stage that PT POS must carry out so that a similar incident does not happen again!

 

Andi is a division head at an agency in Lumbung Regency. Andi is known as someone who is quite obedient to his superiors. One day, his superior, Yanto, went out of town on confidential official business. Andi was asked to supervise employees closely. Yanto emphasized this because he received reports that many employees often arrived late and went home before class was over. Yanto also advised Andi not to tell anyone where he was going because his duties were quite secret. Andi expressed his ability to supervise employees and keep these secrets. On the first day Yanto left, Andi found 5 employees who arrived late for no apparent reason and 7 people who left before the end of work hours. On Yanto's second day, important officials from the province arrived who had important matters related to their duties, and had to be completed that very day. He forced Andi to tell where Andi's boss was because since the last 2 days Yanto could not be contacted.

1. Planning is a one of manager functions in planning manager need to set the goals, establish strategies for achieving those goals, and develop plans to integrate and coodinate the activity. In this case, manager have an important rule to solve the problem.
1) Identify the Problem 
PT Pos Indonesia cannot send the package on time and don't check the package all the time.
2) Plan to solve the problem
 If i am the manager i will evaluate my workers, and give them Special training. I also will add more courrir so the package can send on time.
Planning really important to solve the problem. In planning, we can know how to solve the problem.

2.) a.) I will not tell where is my boss. Because as a workers and also subordinates, i need to obey everything that my boss said as long as it positive. I don't have any right to give the quest information. If the guests from the province really want to know where's my boss, i will contact my boss or i will suggest the the quest to contact my boss directly.
b.) I am going to give them a warning. i am going to ask, what make them. late and going home earlier. I will provide them an opportunities to speak openly. I also tell my boy who is undisciplined so my boss can give them a pinalty. pinalty can make a workers disciplined, but i don't have any right to make the pinalty. I will ask my boss what pinalty that i can give to the un disciplined workers.

1. Planning:
• the manager have to do evaluation their performance, which division delays the deliver. In this evaluation we gonna looking for any solution.
• the manager made a goals each day or each week.
• the company can improve in customer service, to see any feedback about deliver.
• the company can make a team that task to monitoring and analyzing performance operation
in the field.

2. a. If I is Andi, i am gonna explain them that Yanto not there because he has some of business. And then i'm gonna try to take over the things from guest (province). And still to say sorry because Yanto not there to dealing with them. I'm gonna try to keep contact Yanto while try to deal with the guest.

b. The first thing that im gonna do is gather all employees to evaluate them. reaffirmed to employee about Standart Operating Procedure. Reprimand and keep monitoring them about jobs. Give them a motivation and solution about this problem. Give them a feedback routinely which firm and clear enough for them. If I is Andi, i'm gonna try to get along with the employees the ask them why they late and undisciplined, after that i'm gonna tell my boss about that and made discussion to solve that problem.

1.planning itself is setting goals, establishing strategies, and developing plan to coordinate aclity. But first we have to know what causes this. At this case is about the poor services due to several factors. As the manager we have to set goals. The goals of PT POS Indonesia Is build a trust to the consumers. How to reach that goals? PT Pos Indonesia have to delivering goods and mail with no delays, give the best services to the customer and make sure all the packages got checked. How the PT Pos Indonesia developing the plan? PT Pos Indonesia have to conduct training for the employees for example Is how to give the best services to the customers. Still, PT pos Indonesia hove to evaluate the employees about the short coming. and for delivery problem. They can add a competent couriers to speed up the delivery of goods and mail.


2A. How Andi dealing with the guest from the provinces Is welcoming their arrival. And asking the reason why they coming, and whats related to Mr. Yanto. Since and have to keep that secret, Andi have to Say that Mr. Yanto Just went out of town and all the Mr. Yanto's responsibility is all on Andi untill Mr. Yanto come back. Andi must not spill out about Mr. Yanto's Business since It confidential official business no matter what. If the quest still wants to Mr. Yanto. Andi will contact them if Mr. Yanto already come back to the office.

2B. Mr. Yanto have asked Andi to supervise the employees which means its his responsibilty since Mr. Yanto gone. How andi deals with the undisaplined employees IS. first asking the reason why they late and whe they left before the end of work hours. However he must be firm when in the work environment. Andi must emphasize that they must obey the rules. Because still Andi has no right to take an action against those who dont comply with the regulation because Mr. Yanto just wants andi to supervise them. But when Mr. Yanto come back, Andi have to tell Mr. Yanto what happened when Mr. Yanto out of town, and tell about the undisciplined employees so Mr. Yanto can take further actions.

1. My planning for PT POS Indonesia's services in the Sumenep, Madura, East Java is they must improve the tracking package by using bar code or qr so they will easily input the data. Then, the consumers must have the link of the bar code of the package so the costumer will be able to track thier package. Giving transparancy to the consumer make them less worried about the package lost in the shipment process. PT POS Indonesta must give the consumer guarantee if the package lost during the delivery, this could make the employee have a better responsibility because if the package lost, they must return the money for the costumer. PT POS Indonesia should make an application for tracking the delivery to the cosumers. Using technology for better management and transparancy to the costumer will bring trust and the consumers feels secure about Pos Indonesia services.

2. a. My action when dealing with guest from the province is ask fhe officals from the province their needs to find Mr. Yanto and tell them that I will send their message to him directly if the matters are important and If I can’t contacted to Mr. Yanto, I'll ask other superior what to do or I'll be the one in charge to replace him. I'll try not to tell to them about where was Mr. Yanto go.

b. My action when dealing with undisaplined employees is giving them warning and scared them If they were not cooperate well, I will tell Mr. Yanto so they will get salary reduction. But I should tell them as a serious joke, so they will think twice about their action. I also must give a good role model to the employees by never late and finished my duties so the employees follows my actions.

1. Before making plan manager have to identify the specific reason or the root cause of the problems, after that manager can make a plan and execute them. After the plan has been executed manager have to keep communication and monitoring the progress.

2. A. The best action to take here are obey the the boss advised while trying to explain it clearly to the guest. Because professionalism is above anything else.
B. First of all I have to make a detailed record, then start questioning what's the problem to the employees who are late or went home early, tell them to nor repeat it again, but if they still repeat it warning or strict sanctions has to be done.

1. There are several planning idea for PT Pos Indonesia
a) PT Pos Indonesia can make a deadline for the consumers that want send a letter, so the consumer don't have over expectations
b) If consumers really need emergency time and want the letter to arrive immediately, the shipping cost can be increase.
c) Add more employees, if need
d) Make an evaluation every month.

2. a) first solution, negotiate whether I (as Andi) can handle the urgent work or not. second, the guest from province can make a new schedule.

b) for the employee who arrive late, the managers can make strict regulations (cut the employee's salaries if late more than 3 times). for the employee go back home earlier, the employee must go back home together with the time that has been set, except, they have urgent conditions but they must finish their responsibility.

1. Based on that situation, then the plan i would make to attain that incident will not happen again in the future:
• Planning (goal, plan, and the planning process:

set goals; be ontime, crosscheck Package, make sustems work, evaluate.
~ PT. POS Indonesia have to setting their goars to be ontime when the package is ready to deliver as soon as possible so that delaying incident, does not happen.

due to poor services about the package, make sure that each workers and mail drivers crosscheck before and after the mail to be send so it prevent the problem of sending wrong packages.

after these fallowing step is well monitored, then after the day of working, evaluate the works, if it's going well, try to make a better plans ahead and reep it going. but if it is turns out as mislead of the works collect all departments and discussed the problem and try to solve them


2. if i was andi as a division head of an agency i would :
a dealing with guests from the province
i would choose the collaborating style that enables both of the officials from province and agency to win with negotiation and bargaining in asserveness.
= in a meeting room tell to querts that my boss are unable meet them to this important matters ot duties due to condfindential business the boss handle our of town and reassure the guests that i will be responsible and work for the matters with the ream in the agency. so it won't be a Problem since I and ram will be take an action regardless where the boss is. and botn parties will happy with the works done.
b. deal with undisciplined employees i would choose the accomodating style
1. grouped them into their department, and tell the issue that why this probum happen (undisciplired behavior) why is every body arrived lan and left before end hours.

1. Planning involves defining the organization goals, establishing strategies for achieving those goes. and devaloping plant to integrate and coordinate work activities In this case PT. Pos Indonesia have to do the plan step to improve their service
1. Accept all the complain from the costumers
2. Check what's the problem by doing the employee evaluating
3. Discuss and take a decision for solution
4. Do the plan of solution that they already make and monitor performance and costumer response.
In addition if the problem comes from the courier, they must change or replace the courier with the new one that can be profesional.

2. In this case
a. i have to handle this situasion by myself. Besides keep trying to contact Yanto, i must do or make a decision to handle the guests. I can ask the matters and know what must to do from that. And just if Yanto still can't contacted. I must explain and provide understanding to the guests. 
b. me as a division head can take an action to deal with undiciplined employees in a few steps. The first one is do an evaluating with employee can be a week or month. Then I will call the employe that undiciplined and give them a warning letter. Carry out subsequent performance monitoring for a week, month or three early month to see the difference. And if they still didn't change their bad habbit or undiciplined, I will report this to the superiors and if dissmisal is necesarry.

1. pt post must follow up on customer complaints like tracing and tracking the position of the shipment, repeating the transaction and forwarding the shipment according to the correct recipients name and address, perform shipment forwarding of mis sorted shipment in accordance with the correct address,return the shipment to the sender, and provide compensation.

2. a) I will tell the guest from the province that I am not authorized to provide information. because my boss has said that he advised me not to tell anyone where he is going because his job is quite confidential. and I expressed the ability to keep the secret.

b) I will reprimand undisciplined employees according to the authority given by my superior. because if employees not disciplined it can result in losses and even the fall of the company itself

a) identifrying the problem is its because the bad employees, system, internet, vehicle, or the traffic
b) identified the decision criteria
c) allocating weight to the criteria
d) Developing alternative is make list of what alternatives that PT Pos will take.
e) Analysis the alternative is after make a list of the alternatives PT Pos should consider about the weakness and the strength it the company change employee with more capabilities employee their salary will be higher, if they choose to make employees lesson to be better they have the same salary but not sure they’re will be better or not.
f) selecting problem for the PT Pos is
1. Upgrade the system so the package update wont be delayed.
2. They have to increasing the capibility of the employees.
3. They should targeting and track when the package will delivered on time
g) implementing alternative

2. a) So i will not tell the guest from the province and explain why i cant tell where is the superios is. And ask the guest from the province is the matters can be replaced with me or not. Bacause trust is hard to gain and to maintan.
b) I will reprimanded the undisciplined employees and will threaten them at first, if theyre not change i will tell the superios like as mandated because they are can determental to the company.

1. Identifying the problem, PT Post Indonesia have a problem with a bad services in delivering.
2. PT Pos Indonesia should improve the performance, improve the transportation accommodity, fasting the packaging. Choose the fast route to customer, so the package would arrive to customer on time.
3. PT Pos Indonesia need to hire more employee to improve the productivity
4. Then PT Post Indonesia neee to make a good promotion like using a discount to the delivery or other services so they could reach their target market.
5. After the problem solve, and PT Pos Indonesia got a customer trust again, PT Pos Indonesia should make sure they won't make the same mistake again, and always improve their delivery and employee. So they can compete with other delivery services.

2. A. I would ask them to stop contacting Yanto cause it would distrub him and ask or contact me instead. And taje an action i can to do Yanto work and take their trust to me. And try to work the business done that day.
B. I wouls ask them why they late or left before the time, and if they still left before the time, i would give them more work and tell them if it need to be done that day, so they won't leave before the time, and about the late i would tried to discussing it with them and ask why they late or leave before the time and try to solving it. And ask what make them comfort when work, and try to to providing it. And report it to Yanto, and improve my work every day.

1. Planning is often called the primary management function because its establishes the basis for all the other things. managers do as they organize, lead, and control. As managers engage in Planning, they set goals, establish strategies for achieving those goals, and develop plans to integrate and coordinate activities.

so in case number 1, When you have a problem with outer branches, branches that aren’t under you direct control, your plan should be to decentralize. The first step would be sending more qualified/senior employees/officers to those branches, checking on those branches more routinely by having them do monthly reports including their delivery times. The second step should be evaluating what’s wrong with said branches and what makes them different from other branches, in how they work, their systems, and so on. The third step should be setting a target for those branches, with incentives if they reach them, and sanctions if they don’t. The last step should be a customer survey after these changes are put in place to make sure they were effective

2. (a) Given Yanto's instructions as to keep his location confidential, as his employee I will obey that order, as the guests have already contacted Yants and he didn't answer, meaning that Yanto also doesn’t want the guests to know about his where abouts, I would either act like I don't know where he is, and will contact them again when he gets back.

(b) As the person in charge left by Yanto, in my opinion, it would be best to take one of the two approches, a collaborative approach, by seeking an advantage for all parties involved such as an incentives or reward for coming on time. Or an accomodative approch, where he puts everyone's needs above his own. However, I also have to give warnings and advice, so that they don't do it again. And on the other hand, I also have to report it to Yanto because I'm the one responsible for the task given to me

1. Pos Indonesia should be more transparent
2. Pos Indonesia should Upgrade their transportation equipment
3. The center Pos Indonesia shoul give more attention to their branch
4. Upgrade service, feature and innovate
5. More exclusivity to the mail service

2. a. I would explain to the guest that my boss Is on a secret duty, I would also negotiate with the guest regarding the task that have to be done this very day have a high chance will not be completed today, in the end I will give my sincere sorry to the guest for the bad experience to our company.

b. I would order them to meet me in person and hopefully we can talk about the behavioral problem and take the safe route regarding the problem. If they don't have any exact reason, I would just explain to them that if they keep doing that, they gonna be fired at some point.

1). PT pos must carry out these plan to avoid the similar incident happen in the future → based on the "Planning" stage
1. first they should evaluate the performance of their employer and ask them why that bad incident can happen and what their problem is.
2. then PT POS make a staff training and development so that they can improve their performance delivery.
3. then pt pos should ensure staff are well-prepared and well-equipped to handle tostomer nteds and to doliver thoir worr on time.
4. then pt pos should make a target for their staff. If their staff can reach the target, they will get some bonuses and if not, PT Pos should give them a small punishment as a warning sign for the staff.
5. then PT pos should have a good communication to the customer if there are some problem or something. so the customer might be knew.
6. lastly PT pos should conduct regular either internal or external audit to assess the performance of their staff (controlling)

2) a.) if l am andi, I will tell the guest from the province that my boss (yanto) has an Important task (assignment) that should be done and also I will tell them that my boss (yanto) asks me to not tell anyone where he was going. If they (guests from the province) need something or need help, I will help them to complete their duties or to represent my boss Yanto.

b) If I am andi, I will give warning to the undisciplined employees and I will tell them if they will repeat their bad habbits, they will be reported to yanto and getting some punishment or worse they will be dropped out from lumbung agency. Also to prevent there are increasing total of undiscipline d employees I will controll the employees and make a presentation data bofore the class will start and after the class ended.

1) Identifying the root cause: PT Pos Indonesia should conduct a thorough analysis to identify the underlying reasons for the delays in delivering goods and poor mail services in the Sumenep area.
2) Improving process efficiency: Once the root causes are identified, PT Pos Indonesia needs to streamline and optimize its processes.
3) Enhancing workforce training: PT Pos Indonesia should invest in training programs for its employees to improve their skills and productivity.

A) When dealing with guests from the province, as Andi, I would first apologize for not being able to provide information about Yanto's whereabouts. I would explain that Yanto is currently on confidential official business and cannot be reached at the moment.
B) Address the issue: I would call a meeting with all employees to discuss the importance of punctuality and staying until the end of work hours. I would emphasize the impact of their actions on the overall productivity and reputation of the agency.

1. First thing to do as manager is identifying the problem, set strategies and goals. I would check the route, ensure all the transport are compatible, make a schedule for shipping and give deadline for the shipping, make division to divide job, every shipping point should check the schedule and upgrade the status.

2. a.I would tell that yanto has a duties and didn’t tell us where or what the duties due to its secret but didn’t tell the detail to avoid misleading information. Because as the employee andi should follow the direvtives of supervisor. I would tell the guest to tell me if there any duties and help the guest to contact yanto if urgent.
b. we can change the organization culture and renewed behavior pf employee. ask the reason why they late and leave before the end of work hours and give them solution. give them warning , give reward for discipline worker and suport them. managers also can focus on individual development so they know the importance of ethics code.

have to Make ther service more Better, as we know from the case that Pt pos Indonesia always delay to regarding goods and Mail fo the Customer. So the plan and Solution for PT Pos Indonesia, their have to add more Courier Driver in their company, than in some areas it's already devided in Some driver. fur exaMPle in Rajabasa Bandar lampung, their are 5 driver to send the Goods /mails. and in Sukerame Bander lompurg there are 5 drivers too to send the mail.

1. What the manager can do is gathering data, analyzing data, make the plan, implement the plan, and evaluate the plan. The best plan for PT Pos Indonesia is focusing on consumer satisfaction by improving the service that they have.

1.The problem is about PT POS Indonesia’s services.The packages is oftenly delay.Planning means identifying goals for future organizational performances and deciding on the tasks and use of resources needed to attain them.There are 4 ways : set goals,formulate the current situation,identifying convenience & obstacle,and develop plans for achieving goals.After analyzing,I can conclude that ways to solve it are : evaluate the employees,find out the reason why package is delay,add a new employees/courier,and the recipient must check the package oftenly to know its already delivered or not so the problem can be solve quickly.

2.a.because the boss has trusted me to replace him temporarily,i will do it well.When i dealing with the guest from the province i will not tell to him where my boss is.I will explain that im the boss’s replacement for temporary.I think that guest will understand the privacy and employee’s ethic so he will not forced me again.
b.as a boss or supervisor,to deal with undisciplined employees the first step is i must be disciplned so i can be a role model & the other employees will follow me to disciplned,second i have to instill the company’s vission and mission,provide a clear & firm feedback,give an appreciation to who are disciplined so that those who are not disciplined can become motivated.And the last who are still undisciplined,sanctions will be given and i will make a communication to know what caused it.

1. So that similar events do not recur then Pt Pos indonesia should review the Performance Of existing services espcecially in the region of Madura, Sumenep and east Java. Then PT Pos Indonesia should Check in the expedition section in order to find out what causes the delivery can be late and PT Pos Indonesia Can take decisive steps such as reducing Points for each late Report received where the points can affect the Salary Received by employees and
PT pos Indonesia should arrange delivery
Schedules and add troops in delivery Section So that there are no more late reports So that Consumer confidence Can be held back by PT Pos indonesia

3.The step I will take is that I will record any employees who arrive late without reason and also employees who leave before working hours end. Then I will give a warning to the problem employee and remind him about the rules in the company that must be obeyed if the employee still continues to violate company regulations then I will report it to Mr Yanto to determine what strict steps are appropriate for the problem employee because he has been given a warning and still continues to violate, because discipline is one of the keys to the success of a company.

At the first i would investigating and analyze "what causes the delay", and then communicate to customers and stakeholders, next do implement improvements. 2. (A) I would gather information about their purpose and if the issues raised are routine or fall within my authority, I would attempt to address them and keep Yanto's confidential mission. 1. To plan the problem solving, first thing is we should analyze the problem. After that, we could develop the plan with the mission is to improve the management system. As a manager, in this situation we have to crosscheck what is happening in our employees environment. After that we can give a coaching and training do they will remember the Standart Operating Procedure. Manager’s should still control the operational process. The goals of this planning is to get a better system and get more good quality of employee and making sure that our company’s services is now already back ti the professional line. And then, we should build the company’s branding and clean it from the past problem because it is very important to make our customer’s trust in our hand. After all of the process, we have to maintain the commitment with our employees about the quality of services so we will not facing those kind of problem in the future.

2 (a). I will giving my best way to provide the understanding to the guest that my Boss is not available for now due to important condition and tell them wisely that I am now in charges. They need to understand first that now is my responsibility to take over my Boss concerns so they don’t need to worry about their duties that should completed that very day.

2 (b). I also will giving the understanding that i’m the people in charges because i don’t want my colleagues has a bad impression to me cause of i suddenly take over the charges. And them for the undisciplined employee i will take the problems wisely and professional. I will held the mediation and reminding the rules in the company for the employees. Finding why this accident happen, example the employee work lazy because of small wages so as a manager give the employee bonues for motivate them.

A. the action that i would do is say sorry to guests because the guests from the province can't meet with Yanto, because Yanto has important job that i can't tell and the important job is quiet secret. Also said to guests because me and yanto have entered into an agreement do not tell it with everyone, if i tell them it will break Yanto trust.

1.Based on the incident, managers should develop plans that are specific, but flexible. They should be ready to change the directions if the environmental not supporting. The flexibility on the plans is very important so they can adapt wilth the situatton quickly and the plans running as it should. Also for the employee. So, what can Pt Pos must to do is , in my opinion,they have to do the "selecting" for their employee. This selecting including -Rersonality test , -Intelegent test, -Knowledge test that relate with the job that their applied, and -Interview test about how they can solve a problem.

2. A.If i were Andi, I will say sorry to the guests because i can't tell where Yanto is.
B. for the undisciplned employees, i will stated firmly abaut the attendance rules.
